An athlete's medical record has commercial value to the organisation holding it. Selection, contract length and transfer valuation all shift on injury history, which makes confidentiality a design problem rather than a courtesy.

The record is valuable to people who are not clinicians

Recruitment staff want injury history, agents want prognosis, and communications staff want a line to give externally. Each request has a legitimate framing and none requires clinical detail.

Once a record is accessible across a department, it tends to travel. Information about a player's back becomes an argument in a contract negotiation.

The practical control is access rather than instruction. Systems that restrict who can open a file are more effective than policies asking staff not to share.

Availability reporting replaces diagnosis sharing

Coaches need to know what a player can do and for how long. That can be expressed as functional status without naming a condition or a scan result.

Structuring the report this way keeps the clinical file with the medical team while giving the coaching staff the information they actually use.

It also reduces the incentive to seek the underlying record, because the operational question has already been answered.

Transfer medicals sit outside the normal rules

A pre-signing examination is conducted for a prospective employer, and the athlete is the subject rather than the patient in the usual sense.

Good practice requires explicit consent about what will be shared and with whom, and a clear statement to the athlete that the examining doctor is reporting to the club.

Findings unrelated to the transfer decision, discovered incidentally, raise a separate question about who informs the athlete and how it is recorded.

Anti-doping introduces mandatory disclosures

Whereabouts filings, exemption applications and sample results move medical information outside the club entirely, into anti-doping organisations and laboratories.

Those systems carry their own confidentiality rules, including restrictions on publishing an athlete's identity before a case is decided.

Breaches at that stage cause disproportionate harm, since an athlete named during a provisional suspension carries the reputational cost even after being cleared.

Retention and transfer of records between clubs

When an athlete moves, the question of what travels with him is often unresolved. Continuity of care argues for transfer; commercial sensitivity argues against.

Sensible arrangements route the record through the athlete, who authorises release to the new medical team rather than allowing club-to-club transfer.

Retention periods matter as well, since a former player's file held indefinitely by a commercial organisation serves no clinical purpose once care has ended.
